InstaTeam For Event Planning?

Well, why not?

This multi-tasking sister used InstaTeam for planning a wedding, and everything turned out great.

Rochelle got engaged and they planned an early wedding. Rochelle’s baby sister, Samantha, was the bride’s maid. With only a few months left to do all the planning and Samantha’s busy schedule, planning and executing the wedding looked like mammoth of a task. Samantha works as a kindergarten school teacher. She also works as a freelance writer, writing web content for a variety of verticals. Sam walks a tight rope with her two jobs, and the additional task of wedding planning was too much on her plate.

Once the teams were made, all attendees could add personal details to their profile. emails, addresses, contact numbers were all taken acre of. Guests could RSVP in the attendance section. All the details, events, important dates and special instruction to those dates, every bit of information was put together in the schedule; it was there for everyone to see. Best part was, for guests who didn’t already have InstaTeam, or didn’t want to add an additional app, they were still in the loop of all-important communication through emails and text messages.

“I was delighted at how all the information was at the tip of my hands, and how smoothly we were proceeding with the planning. We had to make a last-minute venue change for the rehearsal dinner from banquet 1 to banquet 3. To my surprise, the communication was a breeze, and it worked out just fine”, says Samantha.

What’s better than your team using InstaTeam? Your team really using InstaTeam!

If you are the coach or athletic director of a team that is affected by impaired communication, or the lack of connection in the team, we know how distraught it can be. And in the desperation, you might be trying methods and tools to get communication going. But any tool or method is only as good as it’s use, else it’s useless.

If you’ve just installed InstaTeam, and am about to introduce the sports team management app to your team, here are a few tips that will help encourage your team members to get into the habit of using it, and get your team work on a roll.

The first step would be getting InstaTeam installed on mobile phones. It’s important that parents and players have the app on their mobile phones, because that is one device people never part with. With the virtue of being on mobile phones, InstaTeam will be able to keep the team connected, anytime, anywhere. Along with mobile phones, parents should also install the app on other devices like a tablet, if they use one, or desktops as well. Also, make this mandatory. Bring it out as an official communication.

Once people have InstaTeam installed on their smart phones and have joined the team, keep a session to introduce InstaTeam features to parents. Although, the app is super easy and most people will be able to figure it out in the very first go, but having an orientation session would be a good start.

The next step is to start communicating with the team on InstaTeam. Send some important communication, like announcing practice and asking players to mark attendance. Initially there will be both, resistance and ignorance. Some people have their good old ways of communication, and come what may, they will not come out of their comfort zone. As the admin, you will have to be firm, any communication other than InstaTeam will not be considered. Then there’ll be some people who will blissfully just ignore the communication, because they are not in the habit of the app. Some clubs have experienced people just clearing out the notifications without even reading them. You will have to literally force the habit of using InstaTeam initially. We call it app-inertia. Once people start using it, they’ll fall in love with the convenience the app brings to them. But the initial inertia will need to be tackled. Do not entertain communication in any other form, no sms, no email.

Apart form communication, you will also have to give the initial push to encourage people to use other features of InstaTeam such as social media, carpool, etc. Accept payments through the app only. Once the app is established as the only mode of team work, people will get habituated to the app, since all team work can be managed though InstaTeam, effectively and efficiently.

The resistance is mostly because of two reasons, one – people do not like change, and two – another app seems like a task, an added task. It’s only when people know that instead of adding to the list of apps and tasks, InstaTeam actually takes off a lot of burden, dependence on a variety of apps and brings in convenience, people will themselves get into the habit of the app. You would be required to work the initial rollout, and then you’ll see how the whole team, including parents, gets habituated to real-time team work on InstaTeam.

Brian Miller is a conductor of a youth orchestra in Utah. He has a music school; where in different musical instruments are taught. There are different classes for strings, winds and percussion, an intermediate string ensemble and one elementary string class.

Digital Roster That Supports A Growing Team

In any sport, roster plays a major role. In youth sports it is all the more important because apart from the team’s ranking, a roster has the child’s parent details and other important information. Every time a communication has to be sent to the player regarding any important information about the game, the message should reach the child’s parents or guardians also, whoever is responsible for bringing the child to the game. Which means every time the coach creates a roster for the team, all the information with regards to parents, other listed contacts, emergency contact, home address, important notes etc. have to be rewritten.

InstaTeam’s digital roster gets created automatically as and when you add a player. You can keep adding players and the roster gets automatically updated. When the season changes, all you need to do is add new members, and delete the ones that are no longer a part of the team. You don’t have to go through the process of creating a new team, a new roster, adding all the details all over again.

Here’s how you can add information to a player’s profile on InstaTeam:

Open the InstaTeam app, home screen. Choose the team. In the team home screen, scroll down and choose the player name, in whose roster you want to add details.

Scroll down, tap on ‘Add Parent’

The screen would show the names of parents already in the team. To add a new parent choose, ‘Not on the list’.

Fill in the relevant details.

InstaTeam app allows adding a total of four parents for each player. More details can be added in the ’Custom Parameters’ section.

All numbers that are added to the profile will receive notifications and reminders in regards to the game schedule or any other important communication.

Coaches need to feed all this information only once. The whole roster and communication will be taken care of there on.
